The below information details how your data will be used in relation to Vascular Society ASM.

Executive Business Support Ltd are the event organisers and act on behalf of the Vascular Society (VS) as data processors.

When you book one of our events or submit an abstract, we collect personal information about you such as name, address, email, phone, membership status, dietary or special access requests, accommodation booking details, credit card information any other information required.

Delegates
We may share information with third parties such as the venue for dietary or special access requirements, the hotel for rooming requirements, a limited delegate list with exhibitors or your finance department for invoicing.  If required, we will also share your attendance signature with the relevant CPD authority.

Speakers
Information such as your name, job title, organisation, photo and biography may be shared publicly on the website and social media, and, to delegates within the programme. Personal information as well as your presentation may also be shared with our AV company. 

Where you provide us with personal information about someone else
If you provide us with someone else’s personal information by registering them as a delegate or include co-authors in your abstract, you should only do so if you have their authority or consent to do so. You should also take reasonable steps to inform them of the information set out in the Privacy Policies.

Conference Virtual Portal & Programme
A list of all registered attendees may be added to the conference portal and programme which is available only to registered attendees and exhibitors. This includes your name and organisation and does not include contact information. Your name and organisation will also appear on your name badge.

Conference Portal - Contact Exchange
The Conference Portal has the facility to exchange contact details with fellow attendees by connecting in the meeting hub. Please be advised that these details include your name, organisation and email address that you register with.

Communication
We will communicate with you via email, phone or post which may include event and booking details. 

Future Marketing and information from sponsors
We would like to contact you with information from our sponsors and in the future with information about similar Vascular Society events and activities. You can unsubscribe from these at any time. Please indicate below whether or not you consent to receiving this information.

Terms and Conditions
In order to confirm your pace at this event please read the following statement and confirm that you are in agreement. By confirming your attendance at the event, provisions will be made on your behalf by the Vascular Society. Payment terms: Payment terms are strictly 30 days’ net from date of invoice. Invoices not paid within 30-day net will incur an 8.5% charge. If booking within 30 days of the event payment must be received 3 weeks prior to the event start date. If within this 3-week timescale, payment must be made at time of registration. Invoice requests: It is your responsibility to make sure that your finance department processes the invoice in time. Registration requesting payment by invoice will only be processed if a purchase order is entered on the payment request page. Payment must be received within 30 days of invoice issue date. If paying by BACS please send a copy of the BACS payment advice note to accounts@vascularsociety.org.uk Cancellations: Notice of cancellation should be made in writing to ASM@Vascularsociety.org.uk. Cancellation received by 1st November 2020 will have received a refund minus 20% for administration costs. For cancellations received after this date there will be no refund and if payment has not been received delegates will still be liable for the full delegate fee, this will also apply to delegates registered after 1st November 2020. Substitute delegates are welcome. It is your responsibility to ensure you have the appropriate insurance in place to cover your registration costs should you be required to cancel for any reason, including medical, bereavement or travel disruption. Disclaimer: The conference organiser reserved the right to make changes to the conference programme and speakers without prior notice. Photographs may be taken during the event and used for promotion post event - if you do not consent to this please alert ASM@vascularsociety.org.uk

Paying by Invoice:
Registration requesting payment by invoice will only be processed if a purchase order is entered on the payment request page.It is your responsibility to make sure that your finance department processes the invoice in time.  Payment must be received within 30 days of invoice issue date.
